Privacy Policy

Last updated: January 2026

This privacy policy explains how R.W. Miller Plumbing & Heating ("we", "us", "our") collects, uses, and protects personal data submitted through this website. We are committed to handling your information responsibly and in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

R.W. Miller Plumbing & Heating is a sole trader business operating as a plumbing and heating service across South London and Surrey. For data protection purposes, Reion Miller is the data controller.

If you have any questions about this policy or how we handle your data, please contact us:

What data we collect

We collect personal data only when you choose to provide it. This occurs when you:

  • Submit an enquiry or quote request via the contact form on this website
  • Call or email us directly

The data collected through the contact form may include:

  • Your name
  • Your phone number
  • Your postcode (optional)
  • The type of service you are enquiring about
  • Any additional information you choose to provide in a free-text message

We do not collect sensitive personal data, financial data, or data relating to children.

How we use your data

We use the information you provide solely to:

  • Respond to your enquiry or quote request
  • Schedule and carry out plumbing and heating work you have requested
  • Contact you about jobs in progress or follow up on completed work

We do not use your data for marketing purposes, and we do not send unsolicited communications.

Legal basis for processing

We process your personal data on the basis of legitimate interests — specifically, responding to your direct enquiry — and, where a contract for services is agreed, on the basis of contract performance.

How long we keep your data

Enquiry records are retained for up to 12 months. Records relating to completed work (invoices, gas safety certificates) are retained for up to 6 years in line with HMRC requirements and Gas Safe Register obligations. After these periods, data is securely deleted.

Who we share your data with

We do not sell, rent, or share your personal data with third parties for their own purposes. Your data may be processed by the following service providers solely in connection with delivering this website:

  • Sanity (sanity.io) — our content management system, which stores enquiry form submissions. Sanity is GDPR-compliant and processes data within the EU/EEA.
  • Resend (resend.com) — our email delivery service, used to forward your enquiry to us. Resend is GDPR-compliant.
  • Vercel (vercel.com) — our website hosting provider. Vercel is GDPR-compliant and certified under the EU-US Data Privacy Framework.

All third-party providers are bound by data processing agreements and are required to handle your data securely and only for the purposes described.

Cookies and analytics

This website uses cookies only where you have given your consent. A consent banner is displayed on your first visit. Analytics tracking is not activated unless you click "Accept cookies". No analytics data is collected if you decline or close the banner without accepting.

What cookies we use

The rwm_cookies cookie is set immediately to remember your preference. The Google Analytics cookies (_ga, _ga_*) are only set if you accept cookies. They collect anonymous data such as pages visited, time on site, and approximate geographic location (country level). They do not identify you personally.

Managing your cookies

You can withdraw your consent at any time by clearing your browser cookies, which will reset the consent banner on your next visit. You can also opt out of Google Analytics specifically using the Google Analytics Opt-out Browser Add-on. Most browsers also allow you to block or delete cookies directly via their privacy or security settings.

Google's own privacy policy, which governs how Analytics data is processed, is available at policies.google.com/privacy.

Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Erase your data (where we have no legal obligation to retain it)
  • Restrict how we process your data in certain circumstances
  • Object to processing based on legitimate interests
  • Data portability — receive your data in a structured, machine-readable format

To exercise any of these rights, please contact us by email at info@rwmiller.com. We will respond within 30 days.

If you are unhappy with how we have handled your data, you have the right to lodge a complaint with the UK's supervisory authority, the Information Commissioner's Office (ICO).

Data security

We take reasonable technical and organisational measures to protect your personal data from unauthorised access, loss, or disclosure. All data is transmitted over encrypted HTTPS connections. Enquiry records stored in Sanity are access-controlled and only accessible to the business owner.

Changes to this policy

We may update this policy from time to time. The date at the top of this page reflects when it was last revised. Continued use of the website following any changes constitutes acceptance of the updated policy.
